Heffl CRM Integration as an Action

Heffl CRM is an all-in-one business management platform that helps teams manage leads, clients, deals, projects, and finances in one place. With Bit Integrations, you can connect any WordPress plugin directly to Heffl CRM, so every form or ecommerce order submission automatically creates a lead, client, or deal without any manual work.

This guide walks you through the complete setup step by step, making it simple and easy for beginners to configure and go live quickly.

Supported Heffl CRM events in Bit Integrations

Bit Integrations currently supports the following 3 action events for Heffl CRM: You can create separate integrations for each event type, for example, one integration to create a lead and another to create a deal, both triggered by the same form.

How to set up Heffl CRM Integration as an action in Bit Integrations

Follow the steps below to integrate Heffl CRM with Bit Integrations as an action. The setup consists of 3 main stages: Authorization, Action & Field Configuration, and Save.

Step 1: Search and Select Heffl CRM as Your Action

Open your Bit Integrations dashboard and click the Create Integration button. The Trigger page will open, select the form plugin you used to build your lead capture or inquiry form (for example, Bit Form, Contact Form 7, Gravity Forms, WPForms, or any other supported plugin).

After selecting your trigger and clicking Next, the Action page will open. In the search box, type “Heffl CRM” and click on the Heffl CRM icon from the results.

📝 The trigger is the form your website visitors fill out. Whatever plugin you used to create that form is the trigger you should select here.

Step 2: Provide the Heffl CRM API Key and Authorize

Now, the Heffl CRM Integration Settings page (Step 1 of 3) will open. Enter a name for this integration in the Integration Name field, then paste your Heffl CRM API key into the API Key field and click Authorize.

How to Get Your Heffl CRM API Key

If you do not have an API key yet, follow these steps inside your Heffl CRM account:

A.  Go to Organization Settings. Click on your profile avatar or account name at the top-left of the Heffl CRM dashboard. From the dropdown menu, click Organization Settings.

B.  Click on Developers: inside the Settings panel, scroll down the left sidebar and click on Developers. This opens the Developer page, where API keys and webhooks are managed.

C.  Click on “+ Create API Key.”  On the Developer page, locate the API Keys section and click the “+ Create API Key” button in the top-right corner of that section.

D.  Write a Name for Your API Key. A modal will appear. Enter a descriptive name for the key in the API Key Name field, for example, “Bit Integrations”, so you can identify it later. Then click the Create API Key button.

📝 Heffl CRM shows the API key only once immediately after creation. Copy and store it securely before closing this modal; it cannot be retrieved again.

E.  Copy the API Key. The “Save Your Secret” modal will appear, showing your newly generated key. Click the Copy button to copy it to your clipboard, then click “I’ve Saved My Secret” to close the modal.

Now paste the copied API key into the API Key field on the Bit Integrations Heffl CRM settings page and click Authorize.

Step 3: After Successful Authorization, Click Next

Once the API key is validated, the Authorize button will change to “Authorized ✓“, confirming the connection is live. The Next button will also become active; click it to proceed to the action and field mapping configuration.

Step 4: Select a Heffl CRM Event

On Step 2 of the Integration Settings, use the Action dropdown to choose what you want to happen in Heffl CRM when your form is submitted. The available action events are:

  • Create Lead: adds a new lead to your Heffl CRM pipeline
  • Create Client: registers a new client in Heffl CRM
  • Create Deal: opens a new deal in your sales pipeline

Note: For this example, “Create Lead” is selected as the action event. The field mapping options below will update based on the event you choose.

Step 5: Select the Lead Source

After selecting Create Lead as the action, a Lead Source dropdown will appear. Select the source that best describes where this lead is coming from. Available options include:

  • Cold Call
  • Referral
  • Social Media
  • Website

For website form submissions, selecting Website is typically the most accurate choice.

Step 6: Select the Lead Stage

Next, select the initial stage for the newly created lead using the Lead Stage dropdown. The available stages are:

  • New
  • Contacted
  • Working
  • Unqualified
  • Qualified

For fresh form submissions, New is the recommended starting stage, so your team can follow up from the beginning of the pipeline.

Step 7: Map the Fields

In the Map Fields section, connect your form fields (left column) to the corresponding Heffl CRM fields (right column). For example:

  • First Name (form field)  →  Name (Heffl CRM)
  • Email (form field)  →  Email (Heffl CRM)
  • Phone Number (form field)  →  Mobile (Heffl CRM)

Use the “+” button to add more field mappings and the trash icon to remove any row you do not need. You can also enable Conditional Logic (optional) to control when this integration should run based on specific form field values.

Step 8: Save and Finish: Your Automation is Now Live

Once you are satisfied with the field mapping, click the Next button. Bit Integrations will validate the configuration and display a “Successfully Integrated” confirmation screen.

Click the Finish & Save button to complete the setup. Your integration is now live; every new form submission will automatically create a record in Heffl CRM based on your chosen action event.
