How to set up Zendesk Support Integration as an action

Follow the steps below to integrate Zendesk Support with Bit Integrations as an action. The setup consists of 3 main stages: Authorization, Action Configuration, and Field Mapping.

Step 1: Select Zendesk Support as Your Action

Start by opening your Bit Integrations dashboard. Click on the Create Integration button to begin a new integration.

The Trigger page will open first. Here, you need to select the form plugin you used to build your customer support form. For example, if you built your support form using Bit Form, Contact Form 7, Gravity Forms, WPForms, Fluent Forms, or any other supported form plugin, select that plugin as your trigger.

📝: The trigger is the form your website visitors fill out to submit a support request. Whatever plugin you used to create that form, that is the trigger you should select here. This ensures that every time a customer submits the support form, Bit Integrations will automatically send that data to Zendesk Support.

After selecting your trigger plugin and clicking Next, the Action page will open. In the search box, type “ZendeskSupport” and select the Zendesk Support option from the results.

Step 2: Authorize Your Zendesk Support Account

After selecting Zendesk Support, the Integration Settings page (Step 1 of 3) will open. You need to provide the following credentials to connect your Zendesk Support account:

Integration Name: A label to identify this integration (e.g., “Zendesk Support”). You can name it anything.

Subdomain: The part of your Zendesk URL before “.zendesk.com”. For example, in https://acme.zendesk.com, the subdomain is acme.

Email: The email address associated with your Zendesk Support agent account.

API Token: A secure token generated from your Zendesk Admin Center. See the section below for how to obtain this.

How to Get Your Zendesk Subdomain and API Token

If you are unsure where to find your Zendesk subdomain or how to generate an API token, follow these simple steps inside your Zendesk account:

A.  Open the Admin Center of your Zendesk Support account

Click on the product switcher icon (the grid icon) in the top-left area of Zendesk and then select Admin center from the dropdown menu.

B.  Go to Apps and Integrations

In the Admin center, click on the Apps and Integrations icon from the left sidebar (it looks like a puzzle piece or grid icon).

C.  Click on “API Tokens”

Under the APIs section in the left sidebar, click on API tokens. This will open the API Tokens management page.

D.  Click on “Add API Token”

On the API tokens page, click the Add API token button in the top-right corner to create a new token.

E.  Write a Short Description and Save

You will be taken to the Add API token page. Enter a short, descriptive name for your token in the Description field (for example: “Bit Integrations Token”). And save it. This helps you identify the token later.

F.  Copy the Auto-Generated API Token

After saving the description, Zendesk Support will automatically generate an API token. Click the Copy button to copy it to your clipboard.

Now paste your copied API token and type in your subdomain and email into the Bit Integrations Zendesk Support settings page, then click the Authorize button.

Step 3: After Successful Authorization, Click Next

After entering all the required credentials (Integration Name, Subdomain, Email, and API Token), click the Authorize button. If the credentials are correct, the button will change to “Authorized ✓“, confirming a successful connection.

Once authorized, the Next button at the top-right will become active. Click Next to proceed to Step 2 of the integration settings.

Step 4: Select an Action Event

On Step 2 of the Integration Settings, you will see a Select Action dropdown. Click on it and choose the action you want to trigger in Zendesk Support when your form is submitted.

For example, to automatically create a support ticket from a form submission, select Create Ticket from the list.

Step 5: Map the Form Fields to Zendesk Support Fields

After selecting an action event, a Field Map section will appear below. This is where you connect your form fields to the corresponding Zendesk Support fields.

The left column shows your form fields, and the right column shows the matching Zendesk Support fields. Map each form field to its corresponding Zendesk field:

  • Subject (form field)  →  Subject (Zendesk)
  • Message (form field)  →  Description (Zendesk)
  • Email (form field)  →  Requester Email (Zendesk)
  • First Name (form field)  →  Requester Name (Zendesk)

You can add more field mappings by clicking the + (plus) button, or remove a row using the delete (trash) icon.

Step 6: Configure the Utilities (Optional):

  • Priority: Set the priority level for the ticket (e.g., Low, Normal, High, Urgent)
  • Status: Set the initial status of the ticket (e.g., New, Open, Pending, Solved)
  • Type: Specify the type of ticket (e.g., Question, Incident, Problem, Task)
  • Group: Assign the ticket to a specific agent group
  • Brand: Associate the ticket with a specific brand in Zendesk
  • Ticket Form: Select a specific ticket form to use
  • Assignee: Assign the ticket to a specific agent
  • Conditional Logics: Add conditions to control when this integration should run based on form field values

Step 7: Save and Finish the Integration

Once you have completed the field mapping and configured any utilities, click the Next button at the bottom-right of the page. Bit Integrations will validate your settings and save the integration.

If everything is configured correctly, you will see a “Successfully Integrated” confirmation message along with a Finish & Save button. Click Finish & Save to complete the setup.

Your Zendesk Support integration is now active! Every time a form is submitted, Bit Integrations will automatically trigger your selected action in Zendesk Support.
