Webba Booking Calendar Integration as a Trigger

Webba Booking Calendar helps WordPress sites accept and manage appointments, bookings, and reservations. When you use Webba as a trigger in Bit Integrations, a selected booking event can start an automation and pass the captured booking data to your chosen action app.

Before you begin

  • Install and activate both Webba Booking Calendar and Bit Integrations on the same WordPress website.
  • Create at least one Webba service or booking form that you can use for a test submission.
  • Decide which booking activity should start the automation, such as a new booking, cancellation, payment, or service creation.

How to Set up Webba Booking Calendar integration as a trigger

The steps below use Booking Created as the example events. You can follow the same process for any other Webba trigger event; only the test action changes.

Step 1: Create a new integration

Open the Bit Integrations dashboard in WordPress, then click Create Integration. This opens the trigger selection screen, where you can choose the app or plugin that will start the workflow.

Step 2: Select Webba Booking Calendar as a trigger

In the trigger selection menu, search for Webba Booking, then select the Webba Booking Calendar card from the results.

Step 3: Choose the Webba Booking trigger event

Open the event dropdown and choose the specific Webba activity that should start the integration. For this example, select Booking Created. You can also choose from Booking Cancelled, Booking Marked As Paid, Appointment Added, Booking Updated, or any other available event to suit your needs.

Step 4: Click the Fetch Button

After you select the event, the Fetch button appears. Click it to put Bit Integrations into listening mode. The plugin is now waiting for a fresh Webba event so it can collect sample fields for mapping.

Step 5: Perform a matching test action

When the Fetch button starts spinning, you have about three minutes to create a matching test event in Webba Booking Calendar. Keep the Bit Integrations tab open, switch to the booking form or Webba dashboard, and complete the action that matches your selected trigger.

  • If you selected Booking Created, submit a new test booking.
  • If you selected Appointment Added, add a new appointment.
  • If you selected Booking Cancelled, cancel a test booking.
  • If you selected Booking Marked As Paid, mark a test booking as paid.
  • If you selected Service Created, create a new test service.

Important:
Start the test action only after Fetch begins spinning. Reusing an older booking will not give Bit Integrations a fresh event to capture.

Step 6: Review the fetched data and set the action

After the test event is completed, return to Bit Integrations. The button should show Fetched, and the captured fields will appear below it.

Depending on your Webba form and selected event, the response may include details such as the booking ID, customer name, email address, phone number, service, date, payment status, and other booking data.

Review the fields, then click Set Action to choose the external platform that should receive the booking information. On the next screen, connect the action app using required credentials and map the Webba fields to the matching destination fields.

Setup complete
The Webba trigger is now ready. Finish configuring the action, run a final test, and activate the integration so future matching Webba events can send data to the connected platform.

If Bit Integrations does not fetch the test data

  • Confirm that the test action matches the event selected in Bit Integrations.
  • Click Fetch first, then create a completely new booking, appointment, cancellation, payment update, service, category, or coupon.
  • Complete the test before the three-minute countdown ends. If it expires, click Fetch again and repeat the test.
  • Fill in the important Webba form fields during testing so Bit Integrations can display useful sample data for mapping.
  • Make sure both plugins are active and that the Webba booking or service you are testing is working normally.
